Getting Started


How do I get started?

Getting started with HWP is simple. Begin by filling out our contact form or giving us a call to schedule an initial consultation. During this consultation, we’ll discuss your needs, answer any questions, and match you with a therapist who’s a great fit for you.

What is therapy like?

At HWP, therapy is a collaborative process focused on meeting you right where you are. Together, you and your therapist will explore your goals and determine approaches that support meaningful change. 

Each session is an opportunity to build insight, learn new tools, and make positive shifts in your life. You might even leave with recommended resources—like podcasts, readings, or self-care practices—to explore between sessions, all designed to foster growth outside of the therapy room.

What if I’m nervous about starting therapy?

Feeling nervous about starting therapy is completely normal. At HWP, we prioritize creating a safe, welcoming space where you can open up at your own pace. Your therapist will meet you exactly where you are, working alongside you to create a compassionate, non-judgmental environment that allows you to feel comfortable exploring your thoughts and emotions.

How do I choose the right therapist for me?

Choosing the right therapist is important, and we’re here to help. At HWP, we match you with a therapist based on your unique needs, preferences, and goals. We also offer initial consultations, allowing you to meet potential therapists and find a strong, supportive connection.

How often should I come to therapy?

At HWP, we find that weekly sessions provide a strong foundation, especially at the start, as you build rapport with your therapist and set a course toward your goals. Over time, as you progress, we’ll adjust session frequency to fit your needs—often transitioning to bi-weekly or monthly check-ins to maintain momentum and support.

How long should I expect to be in therapy?

Every journey with therapy at HWP is unique. Some clients seek therapy for several weeks or months to address specific challenges, while others find long-term support helpful for continued growth and self-discovery. However long you choose to engage, our commitment to your well-being remains constant.

Scheduling and Appointments


How do I schedule an appointment?

There are a few different ways to schedule an appointment. Please choose the most convenient option for you.

If you are a new client, you may schedule your consultation or your initial appointment by:

  • Visiting the contact page and filling out the short form; or
  • outreaching by calling our office and speaking directly to our client care coordinator.

If you are an existing client, please outreach to your provider either by telephone, email, or via the client portal secure messaging system. You may also use the client portal to schedule a new appointment or reschedule an existing appointment.

Note: Outreaches are returned within 24 hours, during our office hours, via telephone and/or email.

What will my first session be like?

In order to help you decide if our services and providers are a good fit for you, we offer paid 15-minute consultations. Depending on your provider’s availability, this consult may be held in-person or virtually. This initial interaction will give you an opportunity to ask any questions you may have about our practice and treatment options.

After your consultation, you will schedule your first appointment directly with your provider. Each provider maintains their schedule independently.

Prior to your first appointment, we kindly ask that you complete our new client information packet and consent form. HWP is a paperless office, therefore, these forms will be sent to you via the client portal.

The first full session will be a process of getting to know you and what you are hoping to get out of your sessions. Your provider will gather relevant information throughout the session by asking you questions. You may share as much as you feel comfortable. Towards the end of your session, you and your provider will work together to make a plan to address your goals.

It is completely normal to be nervous. After all, anything new and unknown can be a bit anxiety-provoking. However, most clients report that they feel a great deal of relief at the end of their first session.

Insurance and Costs


Do you accept my insurance?

Managed care companies were created to “manage” and contain escalating health care costs. Their bottom line is to reduce costs and raise profits; it is not to increase the quality of care professionals provide or your quality of life.

Managed care companies often choose to limit what services are offered, can restrict what is discussed in session, and may decide which clients can be seen and for how long.

Typically only those services deemed medically necessary, which is defined as being literally about life and death and the treatment of illness, are covered. This means that they require a diagnosis of mental illness. This diagnosis remains on your record.

HWP is solution-focused on quality of life and personal goals.

Our work focuses on prevention, exploration, and personal growth rather than simply survival. Therefore, we have chosen to remain a concierge practice. This means that you pay out of pocket for our services and we provide you with the necessary paperwork (a “superbill”) to submit to your insurance provider for reimbursement if you so choose to.

Be aware that should you choose to submit a superbill, you are releasing medical information that is protected by law. This means you are waiving some of your rights to privacy and confidentiality.

How do I know if my insurance will reimburse me?

Counseling and integrative psychiatry services provided at HWP may be* covered in full or in part by your health insurance or employee benefit plan.

A list of questions to ask your insurance provider regarding out-of-network coverage can be found here. We recommend outreaching to your insurance provider prior to scheduling your initial consultation. 

Please be advised that time spent performing insurance-related requests exceeding 15 minutes is not included in the session rate and will be billed at your provider’s hourly rate.

*HWP is not responsible for coverage or reimbursement. Coaching sessions, wellness services, workshops and recommended testing through third-party companies (e.g. neuroendocrine and pharmacogenetic testing) are not eligible for insurance reimbursement.

What forms of payment do you accept? Can I use my HSA/FSA card?

Cash, credit cards (Visa, Mastercard, Discover, American Express), and health savings (HSA) or flex spending account (FSA) cards that have a major credit card logo on it are all accepted forms of payment.

Treatment Options and Approach


How do I know if I need medication or just therapy?

At HWP, we prioritize a whole-person approach to mental wellness. If you’re unsure about medication, starting with therapy can provide clarity and insight. 

Our team includes an integrative psychiatrist who can work with you to explore all options for your care. Medication, when appropriate, is used as part of a broader, balanced plan to support your overall well-being, not as a standalone solution.an appointment. What types of issues can you help me with?

Our team can help with a wide range of mental health concerns, including anxiety, depression, relationship issues, stress management, ADHD, trauma, and more. Whatever you’re facing, we’re here to support you with compassionate, personalized care.

How do you support mental wellness beyond therapy?

Our whole-person approach means supporting mental wellness in all areas of your life. In addition to therapy, we offer integrative psychiatry, wellness resources, and personalized plans that may include lifestyle recommendations, mindfulness practices, and nutritional guidance. We believe in creating a balanced approach that promotes well-being beyond the therapy room.

Do you offer virtual therapy?

Yes, we offer virtual therapy sessions via a secure, HIPAA-compliant platform. This allows you to access care from the comfort of your home, maintaining flexibility while receiving the same compassionate and effective support as in-person sessions.

Policies and Confidentiality


What is your cancellation policy?

If you need to cancel or change your appointment, we ask you to inform your provider at least 24 hours in advance of your scheduled session start time. Your full session fee will be charged for missed appointments and cancellations received less than 24 hours in advance.

Are these services confidential?

Your provider will always keep everything you say to him or her confidential, with the following exceptions:

  • You direct your provider to tell someone else and you sign a “HIPAA Authorization and Release of Information” form;
  • Your provider determines that you are a danger to yourself or to others;
  • You report information about the abuse of a child, an elderly person, or a disabled individual who may require protection; or
  • Your provider is ordered by a judge or by law to disclose information.

If such a situation arises, your provider will make every effort to fully discuss it with you before taking any action and will limit disclosure to what is necessary.

What should I do if I’m experiencing a mental health emergency?

HWP is considered an outpatient facility, and we are set up to accommodate individuals who are reasonably safe and resourceful. We do not carry beepers nor are we available at all times. Generally, providers will return phone calls within 24-48 hours. If you have a mental health emergency, we encourage you not to wait for a call back, but to do one or more of the following:

What if I don’t like my provider?

You’re not always going to like your provider. We don’t like everyone we meet in our lives and a provider is no different. When you are disclosing your innermost personal information, you want to feel comfortable with whom you’re sharing.

As difficult as it may seem, if you don’t like your provider you should tell him or her why. It’s helpful for providers to get feedback both during and after treatment, so they can evaluate their practice and adjust accordingly to your needs.

If, after discussing this concern with your current provider and not finding any acceptable resolution, it may be advisable to consider changing providers.

At HWP, we have a variety of providers that specialize in different areas. We are confident that we have someone on our team that will be a great fit for you. If not, we are committed to helping you find someone that will.

What is the client portal? What can it be used for?

The client portal is a simple and secure way for you and your provider to engage and share sensitive information online.

Since HWP is a paperless office, we use the client portal to:

  • Send and receive intake forms and consent forms;
  • Share documents and files;
  • Request demographic information;
  • Collect or update credit card information; and
  • Send statements, superbills, or invoices.

You may also use the portal to send secure messages to your provider, request appointments and make credit card payments.
